Who needs an equivalency certificate in the UAE?

Anyone with an academic qualification, from secondary school to Doctorate, can obtain this certificate. It’s often mandatory for various pursuits in the UAE, including:

  • Employment (mandatory for specific roles in healthcare, teaching, engineering, and government)
  • Pursuing higher education
  • Applying for a Society of Engineers License in Dubai (SOE) Card
  • Applying for a UAE Golden Visa

 

When should I apply?

You can initiate your MoE equivalency application before securing a job offer or gaining admission to a higher education institution in the UAE. Physical presence in the UAE is not required to start this process, prompting many to apply well before applying or receiving an offer. Acquiring this certification can also expand job prospects and increase the potential for a more lucrative income.

Before starting your equivalency application, you must verify your degree through one of the MoE’s trusted primary source verification partners. Starting this process early is recommended, as it can take up to 30 days after submitting your application to receive the verification document. You cannot submit your equivalency application cannot without it.

Documents Required for MoE Equivalency

Required documents for MoE equivalency vary by specialization and generally include:

  • Degree verification document from DataFlow
  • Embassy verification or scholarship letter (for Emirati nationals)
  • Diploma or graduation certificate with transcripts

How To Obtain a Certificate of Recognition

Step 1: Gather the Required Documents

Before starting your MoE equivalency application, gather the necessary documents, including educational transcripts, degree or diploma certifications, and a valid passport.

To complete your application, obtain a UAE PASS, the country’s digital identity. Download the app from Google Play or the App Store and register for a free account with a valid Emirates or GCC ID, or passport.

Step 2: Get Your Degree Verified With DataFlow

You must verify your degree before applying for your equivalency certificate. DataFlow will confirm your degree or validate a verification letter from your embassy of the country where you studied, a separate process from embassy attestation. If you have a scholarship (applicable for UAE nationals), DataFlow will validate that as well.

DataFlow will process supplementary documents needed by MoE based on your specialization and degree level, such as an abstract letter, research paper, and proof of residence.

Step 3: Complete Your MoE Application

After receiving your verification report from DataFlow, apply for your Certificate of Recognition on the MoE website. Log in or register for an account with your UAE PASS, ensuring your application details match the information on your supporting documents.

Step 4: Pay the Application Fee

Complete your application by paying the non-refundable fee on the MoE portal – fees vary (100 AED for an undergraduate degree, 150 AED for a postgraduate degree, 200 AED for a doctorate).

Step 5: Obtaining your Certification of Recognition

After review, the MoE will grant equivalency or reject your application. If approved, your certificate will be issued within two days to your registered email address.

How to Get Verification for Equivalency Certificate with DataFlow

An equivalency certificate is one of a few requirements for working in the UAE for the holders of University degrees from outside the UAE and this applies to but is not limited to, healthcare professionals, engineers, professors, and lawyers. The document, which is issued by the UAE Ministry of Education, confirms that your education level is equal to the UAE standards.

Required Documents to Apply for a Certificate of Equivalency

  • Clear copy of graduation certificate
  • Clear copy of academic transcript for the qualification to be equalized.
  • Legal translation if the certificate and transcript are issued in any language other than Arabic or English.
  • Primary source verification report from DataFlow
  • Other documents for some categories

If you completed high school after the year 2000, a letter from the embassy of the country you studied in will be required to authenticate your high school certificate and its duration.

How to Apply for Document Verification for Equivalency Certificate with DataFlow

Step 1: Go to dfgateway.com and register with your email.

If you are a new user, once you key in your email and click ‘Continue“, a pop-up will appear, tick the “Terms and Conditions” box and click “Confirm” to be taken to the signup page. An activation link will then be sent to the email you registered with. Click the link to proceed with your signup process.

Step 2: Start your Application

Once you’ve successfully created a user account and logged in, click the “Start Application” option, if it’s your first time using the platform.

Select “Check Your Status” if you have already started an application and wish to complete it and make the payment.

If you click the “Start Application” option, on the next page, select the “Authority name”. In this case, the Ministry of Education is the “Authority name”. You’ll get an alert notifying you about only submitting a degree from outside the UAE. Click “OK” to continue.

Next, select your package details. You have two options, Applicant Assist Service or Regular Service. Select Applicant Assist Service if you wish to get assistance with your application for an Equivalency certificate. The service features DataFlow specialists to help you out with the bulk of the process.

The Regular Service will have you complete the entire equivalency certificate application process on your own. The Applicant Assist service will help you complete your submission in just a fraction of the usual time. You do not need to take the time to fill out the detailed application form, as after you fill in only some basic information, one of the DataFlow specialists will complete the remaining form on your behalf.

When you select your package details, a pop-up will inform you about your selected options so far. You can choose to amend any of the information you’ve provided or continue with the application as it is.

Click “Confirm” to continue with your application process. Choose how many documents you wish to verify. The more documents to be verified, the more you’ll have to pay for the service. On the far right side of the page will be the package cost and any additional charges.

Once you’ve provided all the required information and are confident about the details, click the Save button, then Next to move to the next page of the application.

A pop-up will again notify you about your progress so far. The pop-up lists all the information you’ve provided and allows you to amend any wrongfully provided information before proceeding.

Click OK to move to the next stage of the application process. The next page will require your details, including a clear copy of your passport, which you’ll upload. Anywhere there is a red asterisk, you’ll have to fill in before you can move to the next page.

Personal details like your first name, passport number, date of birth, and nationality will auto-fill once you upload your passport.

Once you’ve provided the required information, you can choose to save first before moving to the next page or just move to the next page.

The application process has four pages or stages in total, Licensing Details, Personal Details, Verification Details, and Letter of Authorization. The Letter of Authorization permits DataFlow to conduct the verification process. It is a mandatory requirement for using DataFlow’s verification services.

You’ll have to read and digitally sign the letter of authorisation. The signature must match the one in your uploaded passport or any other uploaded identification document.

Only when you’ve made the required payments will DataFlow initiate the verification process. Payments can be made with debit/credit cards.

Once you make the payment, DataFlow will start the verification of your documents. Payments can be made by debit or credit cards. In case of any missing information or details, our team will contact you directly on your registered email ID. In the email, there will be a link to download the verification report. With your verified degree and other required documents, you can go ahead and apply for the certificate of equivalency.

My name is Alice Ando and I joined the DataFlow office in the Philippines in 2017.  I have been a Human Resource Practitioner for over 18 years now. Outside of work, I am a Juris Doctor student, a wife and a mother of two by heart. I love dealing with people and touching their lives.

How would you describe a typical day as the HR Manager at DataFlow Group, Philippines?

Aside from working with and collaborating with people regarding HR initiatives, my typical day as an HR Manager includes visiting the operations and support offices to meet and speak with our employees.

What are your top tips for succeeding in your career?

For me, thinking and doing what I can contribute comes first. To be able to do so, choosing the right battle is important – it saves a lot of energy. I focus on what I can control and be grateful for the chance to learn and improve for the ones that I can’t.

How do you like to begin your day?

I normally end my day unloading anything that does not feel good. On the other hand, I like starting my day by filling myself with gratitude and hopes for the day. After that self-care, I am ready to catch- up with my loved ones, which I like doing as I start my day.

What’s your personal mantra and where did it originate from?

“I should treat people how I want to be treated by them” comes first when I think of my personal mantras. While it is easier to treat people the way they treat you, I am trying my best to treat people well. This originated from the Greatest Teacher in my faith and I always heard this from my father when he was still alive.

In my career, on the other hand, my late father taught me that “I must not bite the hands that feed me”. This mantra brings the feeling of gratitude, and from gratitude, the desire to be of service.

What is something you’re particularly proud to have achieved at the DataFlow Group?

I love touching lives, whether in a small or big way. I am proud that my employment in the DataFlow Group allows me to do that both within the company and in my personal life. There are several CSR programs in the company that impact diverse sectors of society. When I see employees grow in their careers and personal lives, those are proud moments for me too.

What are your key responsibilities?

My key responsibilities as an HR Manager are developing and implementing HR strategies and initiatives. I lead the general HR operations in the Philippines in a generalist role.

How important do you think taking care of one’s mental health is?

Mental health and well-being, when prioritized, can avoid several ill effects in a person’s life. The ability of an individual to cope with challenges is oftentimes dependent on their mental health. Healthy relationships, a collaborative attitude, hopeful mindset, among others, are just a few benefits of prioritizing mental health.

How do you achieve a good work-life balance?

Work-life balance for me is a product of knowing my priorities. I achieve a good work-life balance by consciously enjoying both work and other aspects of my life. I also ensure that I don’t blend the challenges I face in my personal life with work and vice versa.

Finally, something we’d never guess about you?

I grew up in the province, so climbing trucks, hills, and trees excites me!
